Accessing BBC tools, systems and services

Accessing BBC tools, systems and services

  • BBC studios, facilities, office space and BBC ID cards will only be available to independent production companies with a current commission.

  • Independent production companies are responsible for ensuring that their staff, regardless of the status of their employment (e.g. permanent employee, contractor or freelancer), are fully aware of, and comply with, the principles outlined here.

  • Staff employed by independent production companies may have a BBC login, or the use of a programme-associated generic login, if they have a current commission that is:

  • a live show broadcast from a BBC studio needing access to production systems such as VCS or iBroadcast, or to IT systems like audience email

  •  a pre-recorded show that depends on access to production systems such as VCS to record the programme (e.g. an ‘as live’ music programme).

  • BBC logins created for independent production company staff will provide access to all necessary production systems.

  • Independent production companies delivering a pre-recorded show produced off site not requiring access to BBC production systems will not have a login.

Proteus

If you need access to a Proteus Paperwork account, email Proteus.Support@bbc.co.uk to request a login. This will need to be authorised by the business contact at your company. If you don’t know who this is, Proteus Support can confirm this for you.

Training materials for users with Proteus Paperwork accounts are available on the BBC Academy

iBroadcast

iBroadcast is used for various tasks including publishing podcasts, editing tracklists and adding guidance warnings. You can request access on the iBroadcast website

  • Staff employed by independent production companies may have a BBC ID card where they have a current commission that requires access to BBC facilities at a BBC site to deliver the commission.

  • BBC ID cards will not be provided for any other purpose.

Studios and office space

  • The commissioning brief should indicate the studios, production facilities and office accommodation that will be available to deliver a commission.

  • The agreed provision will be specified in the contractual arrangements prior to production commencing.

  • Any provision of BBC facilities or staff may be used only for the purposes of delivering the commission.

  • Where a studio provided as part of a commission requires studio manager(s) to operate it, unless agreed otherwise with the commissioning network, the studio manager(s) will be employed or contracted by the BBC. Additional operational staff hired by the independent production company, such as freelance sound designers, may work alongside the BBC studio manager(s).

  • Any additional time in studios or other production facilities (including studio managers where appropriate) above that specified in the contractual arrangements must be booked in advance with the relevant BBC office and charged according to the published rate card.

  • Office space in BBC locations is limited. Office space that is not provided as part of the agreed commission will not be available. Where space is available it will be charged according to the published rate card.

  • Where office accommodation is provided, this will be sufficient for the final preparations for the studio session such as to upload music / audio to VCS. It will not exceed a total of a half a day per studio session. Independent production companies should arrive with all production activity complete other than that which requires access to a BBC system.

Archive systems

Independent production houses and BBC Studios production teams making BBC public service commissioned programmes can access BBC Archive content. Using Archive Search you will be able to search and browse television, radio, and news archive collections.

Training

  • Where self-op studios and other facilities are used to deliver the commission then training will be made available to independent production company staff at such times as the BBC will determine. Independent production company staff must complete this training before any studio activity takes place.

  • Where a studio is used for a live transmission, whether direct to network or via a continuity studio, independent production company staff using the studio must be familiar with the relevant transmission quality, evacuation, emergency, business continuity and obituary procedures.

  • All independent production company staff with a BBC login or using a BBC generic login must complete the BBC’s 30 minute online data protection course.

  • All independent production company staff entering a BBC site must be familiar with the applicable fire and other safety procedures. Those entering the W1 campus must complete the online Fire Safety Induction course on BBC Gateway.
